Disconnecting, deleting your account, and how long data is kept
Disconnecting a connection
When you disconnect something, we delete the sign-in, token or key we held for it, and then show you what was withdrawn at the provider, what was removed and what was kept. Google (Connections, Google): we ask Google to withdraw our access. Google withdraws the whole permission for that Google login, so if the same login is still connected elsewhere in The Ranking Factory - another Google entry, or the same login on another account - we do not ask, because it would cut that connection off too; we say so, and you can remove us at https://myaccount.google.com/permissions. Disconnecting a Google account also clears its permission list and the Business Profile locations we read, and removes the Search Console connection of the same login. The account entry stays, switched off, with its email and name: the record of what it published still names it, and signing in with the same login again picks up where it left off. YouTube: disconnecting a Google account also deletes, at once, our record of the YouTube videos uploaded through it - the video ids and links we kept, and the entries that carry them. The videos stay on your channel; delete them in YouTube if you want them gone. Every video id we keep is checked with YouTube at least once a week, and our record of a video YouTube no longer returns is dropped. If you remove our access at Google instead, our record of that account's videos is deleted about a week after we first see the access refused, unless you reconnect in that time. Search Console (a separate connection): we ask Google to withdraw our access, unless the same login still publishes here, and delete the connection. Figures already read stay until you delete the account. WordPress sites: we delete, at your site, the Application Password you gave us (WordPress lets an app remove its own password), unless another entry here uses the same site and username. If your site refuses - a security plugin, for example - we say so; delete it under Users, Profile, Application Passwords. Cloudflare (a pasted token), Shopify, Wix, Ghost, webhooks, cloud storage, LinkedIn and Reddit: these are keys and passwords you made and pasted in. We delete our copy, so we can no longer use them; only you can delete them at the platform, and the message says where. If a withdrawal fails, the disconnect still happens and the message says what to do. You can disconnect while your account is read-only. Nothing already published to your sites and channels is deleted by a disconnect.
Crawler counts
The counts of AI crawlers fetching your pages are kept while their project exists. They are deleted when you delete the project or the account, and when you disconnect Cloudflare you can tick "Also remove the crawler counts". The counts belong to the site, not the account: if another project still has the same site, its counts are kept.
Deleting your account
Settings, Delete account. Only the account owner (the person who made the account) can do it, and you confirm by typing the account email. The account is locked at once for 14 days: you can sign in and see everything, but every change is refused and nothing new runs. Press Restore - on the banner, or in Settings - at any time in those 14 days and it is as it was. If you cannot sign in, email [email protected] and we can restore it for you within the 14 days. Our record of the YouTube videos your Google accounts uploaded is deleted straight away when you ask, as YouTube's rules require, and Restore does not bring it back; the videos stay on your channel. After 14 days we withdraw the account's connections where the provider allows it, as above, and delete everything the account holds: projects, measurements, answers, drafts, the record of what was published, connections, keys and settings. This cannot be undone. Billing: we cannot cancel a PayKickStart subscription from here. If yours is still charging, we will ask you to cancel it first, in PayKickStart or by emailing [email protected]. What stays: pages and files already published to your own sites and accounts (we delete our record of them, not the publications); our server's log files, which keep warnings and errors for 30 days and can name an account id or email; and any copy of the database taken by hand before the deletion.
How long we keep your data
While your account exists your data is kept. It is deleted 14 days after you ask for the account to be deleted. An account that has been read-only for 12 months, because a trial or subscription ended, can be deleted too: the account owner is emailed at least 30 days before the date, and signing in and choosing a plan before then keeps it. We make no scheduled database backups of our own.
